1. Purpose

This policy sets out how Ignis Circular Ltd meets its obligations under the UK GDPR and the Data Protection Act 2018. It complements our Privacy Policy and applies to all personal data we process about customers, suppliers, employees and website users.

We process personal data in line with the principles of the UK GDPR. Personal data must be:

• collected for specified, explicit and legitimate purposes;
• adequate, relevant and limited to what is necessary;
• accurate and kept up to date;

• processed securely, ensuring appropriate confidentiality and integrity.

3. Roles and responsibilities

Ignis Circular Ltd is the data controller for the personal data it processes. The Director holds overall accountability for data protection. Enquiries and data subject requests are handled by our data protection contact at sioned@igniscircular.co.uk.

4. Security measures

We protect personal data with appropriate technical and organisational measures, including access controls, secure storage, password protection, and limiting access to those who need it. Paper records are stored securely and disposed of confidentially.

5. Personal data breaches

We have procedures to detect, report and investigate personal data breaches. Where a breach is likely to result in a risk to individuals’ rights and freedoms, we will report it to the Information Commissioner’s Office within 72 hours, and to affected individuals where required.

6. Individual rights

We respect the rights of individuals to access, rectify, erase, restrict, port and object to the processing of their personal data. Requests are handled without undue delay and within statutory timeframes.

7. Staff awareness and training

All staff who handle personal data receive guidance on their data protection responsibilities and are required to follow this policy.

8. Review

This policy is reviewed regularly and updated to reflect changes in law, regulatory guidance and our business operations.
